Disciplines - Scheduled Maintenance

Maintenance Scheduling

The Preventative Maintenance module allows regularly scheduled work to be associated to equipment, staff and accounts.  This provides the Maintenance Manager with a record of accountability and the information required to forecast budgets and labor requirements.

PM’s can be created for individual pieces of equipment or for entire building systems.  For example, boilers may require an individual maintenance schedule but setting up every fire extinguisher with a semi-annual inspection would be time consuming, instead a single building system and PM schedule can be created for all extinguishes.

For Maintenance Staff a single screen provide a list of pending PM’s that are assigned to the user.  They can print their PM’s, complete PM work order, record metering results and submit additional work requests if their findings result in the need for additional services.

For the Maintenance Manager a single administration form provides a global view of all pending PM’s and allows them to be re-assigned, skipped or additional PM’s added within the schedule.

PM’s can include typical labor required, parts required, maintenance notes and instructions.

Set up maintenance tasks for inspection, replacement and metering.

Condition monitoring (metering) allows the maintenance staff to record findings such as temperature, fuel usage, volume, etc.

Create maintenance schedules based on a fixed schedule (ie. first weekday every three months) or use floating dates (ie. 90 days since last completion).

Maintenance staff can record the completion of PM work along with labor, parts and additional work requests.

The Maintenance Manager can review all pending PM work orders and assign, skip or add work.

PM’s are assigned a typical completion time, trade, system down time, parts and cost so actual performance can be compared to anticipated performance.

PM’s can be assigned to internal staff or outside contractors.  Invoices from outside contractors can be applied back to the PM work orders.

With VisionFM’s Event Notification System the PM’s are automatically generated and printed or emailed.

PM’s, tasks and building systems can be copied to make setting up the PM system as fast as possible.

Accountability from maintenance staff and contractors is enforced by requiring each line item be marked as complete before the work order can be closed.

As PM work orders are completed the labor, parts and cost are recorded, allowing the Maintenance Manager to analyze historical information and adjust PM requirements.

View workload by location, trade, employee, date and priority then use the PM Administration screen to quickly reassign work to staff and contractors.
